Settings for managing entitlements are detailed below:

Setting

Definition

Contract

Underlying contract that grants the entitlement

Service Level Agreement

Free-form text area to describe service level agreements afforded by the entitlement (generally applicable to hardware)

Monthly cost (per device)

Monthly cost of entitlement (hardware)

Software: Allow entitlement to be ordered

If checked, this optional entitlement can be requested through the Software Request Portal (Generation 2)

Software: Perpetually entitled to all new versions

If checked, the Managed Software List (MSL) authorization is perpetually entitled to any new version released during the time the entitlement is in force.  To determine if an authorization is entitled to a new version, the MIE uses the MSL setting "Date officially released by publisher".  If that setting in blank, the MIE uses the date the MSL record was created (for the newer version).  Newer versions (to which the authorization may be entitled) must belong to the same MSL family as the current version.

Software: Force this entitlement, when optional, to be selected when any associated MSL title is selected ...

If checked, when a user chooses to request any MSL title  using the Gen II Software Request Portal, for which this entitlement has been set to be an optional entitlement, this entitlement will be automatically selected for the user as well and placed in the shopping cart when the title is placed in the shopping cart.

NOTE:  If the user is exercising an existing entitlement in order to upgrade to a newer version of an MSL title for which an optional entitlement has been set as forced, the optional entitlement will NOT be added to the shopping cart when the title is added.  Said differently, forced optional entitlements are not honored when exercising an existing entitlement.

Software: When checking owned position, consider the entire MSL family

By default, in order to exercise an existing entitlement, there must be an owned position available against that entitlement.  For instance, if there is an entitlement assigned to an authorization for version 10 and the user wishes to exercise that entitlement to move to version 11, then there must be an owned position for the version 10 entitlement.  If this box is checked, then owned position against any entitlement assigned to any MSL title in the same family as the FROM (in this example, version 10) title that is listed as either an optional or enterprise title covered by this entitlement.  This checkbox is used, as an example, in the case where the enterprise is covered for the given entitlement and the owned position continues to be migrated, in total, to the most recent version as a result of contract renewals.

Software: Entitled to all new versions

If checked, the MSL authorization is entitled to any new version released during the time the entitlement is in force.  Unlike perpetual entitlement, this entitlement ceases to exist the moment the entitlement end date is reached.

Market and charge prices are expressed as percentages

If checked, the numbers in the market price and price to charge fields are to be interpreted as percentages of the corresponding MSL titles' market price and price to charge settings.  Said differently, it means the price of this entitlement is based on a percentage of the price of a license for the title.  The MIE converts the number entered to a percentage.  For instance, if you want to charge 30% of license price, then enter 30, not .3.

Software: Maximum number of days after authorization to offer this entitlement via the portal

The number of days, maximum, that the optional entitlement will be made available for request via the Generation 2 Software Request Portal, after the associated authorization was granted.  This is used to prevent someone from requesting authorization for an MIE title, gaining that authorization, and then, at a much later time, returning to the portal to request an entitlement to be associated with the authorization.  Many publishers limit the amount of time that can pass between purchasing a license and purchasing an associated entitlement.  The timeframe allowed will go up to and include the number of days in this setting.  For instance, if this setting is 0, the entitlement will be visible for the next 24 hours (after authorization) before being removed from visibility.  Also, this setting only applies when a title is chosen for request that is already authorized.  If a title is chosen for which an authorization does not exist, this setting does not apply, and all applicable optional entitlements that are still currently active will be made available for request.

Software: Automatically migrate existing licenses to newest entitled version

When checked, the MIE will automatically migrate your licenses to the latest version afforded you by this entitlement.

Software: When migrating licenses, allow this number of days grace

When automatic license migration is on, the MIE will form a window of grace around the time the entitlement starts.  It will allow for licenses purchased this number of days BEFORE, and AFTER, the current start date of the entitlement.  This allows for some variance in ASN reporting as well as allows you to take advantage of grace the publishers might extend (such as being allowed 90 days between the purchase of the license and the purchase of the ensuing entitlement.)

Market Price

The amount to charge for this optional title (if the MIE is set to charge the market price).  This setting will be either an actual price to charge, or a percentage of the MSL title's market price.  The price entered here MUST agree with the Charge Per setting.

For example, if Charge Per is set to month(s), then this price needs to be the monthly charge.  If expressed as a percentage, make sure to adjust the percentage in a way that the result is the monthly charge.

For example, if you wish to charge a total of 30% of the license cost for this entitlement, and you wish to specify the time units as month(s), and the duration of the entitlement is 36 months, then enter 30% / 36 = 0.83

Price to Charge

The amount to charge for this optional title (if the MIE is set to charge the charge price).  This setting will be either an actual price to charge, or a percentage of the MSL title's charge price.  The price entered here MUST agree with the Charge Per setting.

For example, if Charge Per is set to month(s), then this price needs to be the monthly charge.  If expressed as a percentage, make sure to adjust the percentage in a way that the result is the monthly charge.

Charge per

If the pricing is based on a given period, that period is selected here.  If one time, then the market/price to charge fields contain the one-time charge.  Otherwise, if a frequency is specified, then the MIE will calculate the start date and end date of the entitlement, calculate the number of charge periods between those two dates, multiply by the appropriate charge rate or amount, and arrive at a total cost of the entitlement.  It does this via the Software Request Portal (Generation 2) when the entitlement is being requested.

Special charging scheme

This drop-down allows you to select a from a list of more complicated charging scenarios.

Entitlement starts on same day as contract

Used by the MIE to determine the start date of the entitlement.

Entitlement starts when MSL title is authorized

Used by the MIE to determine the start date of the entitlement.

NOTE:  If you wish to charge on a prorated basis, meaning if someone is ordering this entitlement with only 15 months remaining in a 36 month contract, and you only wish to charge them for 15 months, then click this box to start the entitlement when the authorization is granted, AND set the time units to Month(s) AND specify the charge as a monthly fee.

Entitlement ends on same day as contract

Used by the MIE to determine the end date of the entitlement.

Entitlement ends ...

Used by the MIE to determine the end date of the entitlement.  The MIE will add the number of time increments specified in this and the next field to the start date to calculate an end date.

... after its ...

The time increment used to calculate the end date.

(unlabeled)

A drop-down that lets you specify the reference date for calculating the end date.  The default is "start date", which means when calculating the end date, the start date is used.

Entitlement starts (otherwise)

If this field is filled in, it will be used as the entitlement start date before any other fields.  (This overrides all other ways of specifying a start date).

Entitlement ends (otherwise)

If this field is filled in, it will be used as the entitlement end date before any other fields.  (This overrides all other ways of specifying an end date).

Anniversary date (if applicable)

If the end date is set to be calculated based on a number of timeframes from a given reference date, and if the selected reference date involves an anniversary date, then this field must be filled in as it represents the reference date.

If the reference is set to nearest anniversary date, then the MIE will use the date in this field to determine the most recent occurrence of this month and day (the year is ignored).  The most recent occurrence of this month and day is then used as the start date and the end date is calculated from that.

Minimum term (months)

If set to 0, there is no minimum term.  Otherwise, this number is interpreted as the minimum number of months this entitlement must be in force.  This minimum is enforced differently, depending on whether the end date is set to be referenced to an anniversary date or not (as chosen in the (unlabeled) drop-down defined above.)

After the start and end dates are initially determined as specified by the settings, the minimum term is checked (if a minimum term has been specified)

If the minimum term is not met, then the following adjustment is made to the end date depending on how it was set to be referenced.

If the end date is referenced to an anniversary date, then the end date is moved to the next anniversary date, and then the next (if need be), until the minimum term is met.  The result will be a term that starts on the specified start date, but ends on an anniversary date far enough into the future to satisfy the minimum term.

If the end date is not reference to an anniversary date, then the end date is simply adjusted to be exactly the minimum term (in months) from the start date.
