Performing a Record Clone

Record Clone is performed on a single record.

Step 1

The first area shown on the Clone form is labeled Required Clone Fields.  The record fields in this area are editable and can be modified by the user.  In most cases, you will probably want to enter something in these fields.

- Warning icon:  If a field in this area is required to contain a unique value, the field will have a small warning icon after it with hover-help that indicates a unique value is necessary.
 

(If you omit a field that is required (leave it blank) or don’t provide a unique value on certain fields, a message pop-up will be displayed indicating the error when the SAVE button is pressed.)

Step 2

After the Required Clone Fields area, you may find an area labeled Attachments.  The Attachments area will only appear when the record being cloned has attachments.  Each attachment has a checkbox to the left of the attachment description.  When the checkbox is checked, the field WILL be cloned and appear as an attachment in the new record.  Initially the checkbox for each attachment is unchecked, you may check the checkbox if you want to clone the attachment. (Which will duplicate the attachment in the database.)  When the attachment is cloned, a copy number enclosed in brackets is appended to the attachment File Name and Description so that a copy of an attachment is distinguishable from another attachment.

The second area shown on the Clone form is labeled Optional Clone Fields.

All of the optional fields are read-only and the values cannot be modified by the user.  Each optional field has a checkbox to the right of the label for the field.  When the checkbox is checked, the field WILL be cloned and appear in the new record.  If you want to exclude a field from the clone operation, you may uncheck the checkbox.

Some of the optional fields may have a gray background.  This is a visual indicator that the value shown is not the original value of the field because a forced default is being applied during the clone.  To see the original value, uncheck the checkbox on the right and the original value will be displayed.  When you check the checkbox again, the forced default will return.

Step 3

Save or Abandon.

After completing the entry of Required Clone Fields and reviewing the Optional Clone Fields, you may now elect to Save the clone or Abandon.

Pressing the Abandon button will discard the clone and return to the table view of the records.

Pressing the Save button will have one of two results:

1.The Clone record will be created and saved, a pop-up message indicating a successful clone will be shown.  When you press the OK button on the pop-up message, you will be returned to the table view of the records.

2.A validation error was encountered and a pop-up message indicating the validation error will be shown.  When you press the OK button on the pop-up message, you will remain on the clone form so you can correct the validation error and try to save again.
